Team & roles
Everything in User Evaluation lives in a workspace. Invite your team to it and give each person a role.
Roles

Observers are good for stakeholders and clients who only need to read. They can ask Eva questions, but can't change anything or approve anything that costs money.
Only admins can: edit the workspace profile and branding, invite people and change roles, remove members, set up client workspaces, webhooks, security and single sign-on, view the audit log, and manage billing.
Seats
Admins and Members use a paid seat. Free and Pro include 1 seat, Team includes 5, and Scale is agreed with you. Observers are free and unlimited. See Billing & plans.
A pending invite for an Admin or Member holds a seat until it's accepted, cancelled or expires. Settings → Team shows the seats in use and the pending invites.
When there's no free seat:
- Invite tells you how many more seats you'd need and offers the next step: upgrade to Team (from Free or Pro), talk to us about more seats (on Team or Scale), or invite the people as Observers instead. Nothing is sent until everyone fits.
- Change role to Admin or Member needs a free seat. Making someone an Observer frees theirs.
- Accepting an invite checks again, in case the plan changed since the invite was sent. If the workspace is full, the person is asked to contact an admin.
- Single sign-on and SCIM add people the same way: a new Admin or Member needs a free seat. When the workspace is full, SSO sign-in says so and your identity provider gets an error for that person. People with the Observer role always get in.
Moving to a plan with fewer seats removes nobody. You just can't add Admins or Members until you're under the new limit.
Invite people
- Go to Settings → Team and click Invite.
- Enter one or more email addresses.
- Pick a role and send.
Invitations expire after 7 days. You can resend or cancel them from the ⋯ menu in their row (cancelling frees the seat). To change someone's role, use Change role in their row.
If your workspace uses single sign-on, people from your verified email domains can join through your identity provider with a default role you choose.

Workspace settings
- Name, logo and default language.
- Branding: an accent colour for shared pages, and an option to hide Made with User Evaluation.
- Client workspaces (Team and Scale): for agencies running research for several clients. Invite a client as a free Observer.
Audit log
Admins can see who did what in Settings → Security → Audit log, filtered by person, area and date, and export it as CSV. Each entry reads as a sentence ("Generated the study report for “Churn”"); the CSV has the same sentence in its last column, next to the raw action name and details.
Leaving or closing
- To delete your own account, use Settings → Account. We'll handle the request.
- To delete the whole workspace, an admin can request it from Settings → Workspace. We handle it within 2 working days.
